How it works

From first conversation to first trip

Starting a travel program usually takes 4 to 6 weeks. Here is what happens, and what we need from you.

  1. Tell us about your organization

Use the get-started form. Who travels, roughly how often, how travel is booked and paid for today, and what you most want to fix.

  2. A conversation

A member of silentVIP's team talks it through with you, shows the portal on a fictional organization, and answers questions plainly, including whether we are the right fit.

  3. Agree terms

Terms for your organization are set out in writing before anything starts.

  4. Implementation

Travelers and approvers, your travel policy, cost codes (grants, funds, programs), billing and exports are set up. The people who arrange travel are shown how to use the portal.

  5. First trips

Requests start flowing through the travel team. Early trips are watched closely so the setup can be adjusted.

  6. Review

Regular program reviews look at spend, exceptions, policy and service, with a written summary.

What we need from you

Six things to have ready

  • A list of travelers (or the groups who travel) and who arranges their travel
  • Your current travel policy, or the rules you follow in practice (the policy builder can help)
  • Who approves travel, and when
  • The cost codes travel should carry: grants, funds, programs, departments
  • How travel is paid for today, and where invoices should go
  • Any upcoming events, board meetings or volunteer deployments

Bring your travel program under one roof

Tell us about your organization and how you travel. A person reads every enquiry and replies.
