Who does what

A clear line between us

Your organization

Chooses the project and the volunteers. Arranges visas or entry permissions, health advice and vaccinations, insurance, and the briefing. Decides when it is safe to go.

silentVIP

Plans and books the travel to fit those decisions: dates inside entry permissions, itineraries for applications, flights timed around appointments and the project start, and a named contact for every trip.

Before departure

What volunteers should have in hand

A starting list for your own briefing. Requirements differ by nationality and destination, so check each one with the official sources below.

  • A passport valid for the whole trip, with the validity and blank pages the destination asks for
  • Any visa or entry permission the destination requires for volunteer work, applied for in time
  • Health advice for the destination from a clinician, and any vaccinations recommended
  • Travel insurance that covers the activities and the destination
  • The itinerary, the project address and an emergency contact at your organization
  • Your organization's briefing: the project, conduct, safety plan and who to call

Questions

Preparation questions

Do you arrange visas, vaccinations or insurance?

No. Your organization and your volunteers arrange those, using official sources. We make sure the travel fits: dates inside the visa's validity, an itinerary and onward ticket if the entry rules ask for one, and flights that leave time for appointments before departure.

Where should volunteers check entry and health requirements?

With the official sources for their nationality and destination, such as the government travel advice listed on this page and the destination country's own embassy or consulate.

Can you send itineraries volunteers can use for their applications?

Yes. Every booking comes with an itinerary, and we can send confirmed itineraries for each volunteer once they are ticketed.
