Teams and groups

One booking. Every volunteer.

A team of volunteers is one trip with many moving parts. We plan it as one, hold space where airlines allow it, and change names as your roster settles.

What the team takes on

Built for rosters that move

Group space

Group travel from 10 attendees. Where airlines offer group fares and name deadlines, we use them and track the deadlines for you.

Name changes and swaps

Someone drops out, someone joins. We change or rebook and tell you what the fare rules allow before anything is spent.

Many starting points

Volunteers coming from different cities and countries, timed to arrive together.

Staggered arrivals

An advance team, the main group and late joiners, each on the right day.

Where to stay on the way

Overnights near the airport before an early transfer, and hotels reconfirmed: hotels reconfirmed with the property before check-in, so the room is there when your traveler arrives.

One invoice

Every booking on one invoice, itemized, and charged to the program, grant or fund you choose.

A typical team trip

What happens, and when

  1. Brief us

Project dates, team size, departure cities, ground transfers and any accessibility needs.

  2. Options and holds

Options sent within 4 business hours on business days, with group space held where available.

  3. Names in

Your coordinator adds volunteers as they confirm. We ticket against the deadlines.

  4. Travel days

A named person watches the team's flights and handles disruption.

  5. Wrap-up

Refunds and unused credits tracked: every refund tracked with an expected date, and chased if it's late.

Before you ask

What helps us plan well

  • The project start and end, and the latest arrival that still works
  • Where volunteers are traveling from, even roughly
  • How you will get from the airport to the project, if you already know
  • Any volunteers with accessibility or medical travel needs (only what we need to book)
  • Who approves bookings and changes on your side
  • The program, grant or fund the travel is charged to

Questions

Team travel questions

How early should we start?

Ideally 8 weeks before the event; we can work to shorter timelines when inventory allows.

What if we don't have names yet?

Tell us the size of the team and the dates. Where an airline allows it, we hold group space and add names as volunteers confirm. Each airline and fare has its own rules for names and changes, and we tell you what they are before you commit.

Can volunteers travel from different cities?

Yes. Each volunteer can start from their own city, and we time arrivals so the team meets where the project needs it.

Who pays?

Your organization, on one invoice, charged to the program or grant you choose. If volunteers pay part of their own travel, tell us how you handle that and we will set the trip up to match.
