Questions

Questions, answered plainly

If yours isn't here, ask us.

What kinds of organizations do you work with?

Nonprofit organizations of most kinds and sizes (charities, foundations, associations, health, community and advocacy organizations), volunteer organizations, and schools, colleges and universities. If travel is part of how you deliver your mission, talk to us.

Do you work with schools and universities?

Yes: elementary, middle and high schools, districts, colleges, universities and graduate and professional schools. See education.

Can students travel through the program?

Yes. Students, chaperones and visiting guests can be booked as guest travelers, coded to the right school, department or activity. Supervision, chaperone ratios and consent stay with the school, under its own policy.

Can research travel be charged to a grant or award?

Yes. Each charge carries a project code from booking, which can be the award. Whether a cost is allowable is decided by your sponsored programs office under the award terms.

Do you work outside the United States?

silentVIP has staffed teams in the New York area and Sydney. Tell us where your people travel. Office hours are 8am–8pm ET and 8am–8pm AET, Monday to Friday; urgent help is available 24 hours a day, 7 days a week.

Is there a minimum size?

Tell us how your organization travels and we will tell you honestly whether a managed program makes sense for you.

What does it cost?

No supplier commissions. We're paid only our published fees. Terms for nonprofit organizations are set out in writing for each organization before anything starts. silentVIP's published pricing shows how fees work.

Can volunteers and board members use it?

Yes. Each kind of traveler can have its own policy and approval rules, and coordinators can arrange travel on their behalf.

Can we keep using our own corporate card?

Talk to us about how you pay for travel today. Every booking appears on an itemized invoice with its cost codes either way.

Can people book themselves?

Live self-service search across airline and hotel inventory is not available today. Travelers request a trip and choose from the options our team sends.

Do you arrange visas, insurance or medical evacuation?

No. silentVIP arranges and supports travel. Visas are the traveler's responsibility (we make sure itineraries and documents fit what the visa needs), and insurance, medical assistance and evacuation come from your insurer or assistance provider.

How is our data protected?

Single sign-on with Google or Microsoft is available on request, and an account can require it for everyone. Trip and billing records kept 7 years; traveler profiles deleted 90 days after a traveler leaves. See the silentVIP privacy policy.
