The silentVIP portal and travel team, set up for a nonprofit

silentVIP for Good runs on the same portal and travel team that manage silentVIP's company travel programs, configured for how nonprofits and schools are funded and governed.

Walk through it

From request to report, in five steps

A trip request with its purpose and fund

Travelers, or the coordinators and assistants who arrange travel for them, request a trip in the silentVIP portal: dates, places, purpose, traveler needs and the grant, fund or program it serves.

  • Requests on behalf of board members, speakers and participants
  • Traveler profiles with documents and preferences
  • Accessibility and assistance needs carried with the trip

Options already checked against policy

silentVIP's travel team sends options for each request, already checked against your policy, and the traveler chooses. Live self-service search across airline and hotel inventory is not available today. Travelers request a trip and choose from the options our team sends.

  • Each option shows whether it is within policy
  • Fees itemized on every option
  • Intercity rail including Amtrak, Eurostar and major European operators

The right person approves, before money is spent

Approval follows your policy: only when a trip is out of policy, always, or never, with trip maximums and restricted destinations. Each traveler has a named approver, who sees the justification and the price against the cheapest in-policy option.

  • Named approvers, with delegates for set dates
  • A change that costs more goes back for re-approval
  • Every request, decision and note in the approval history

Support and safety while people are away

Urgent help 24 hours a day, 7 days a week. Incident monitoring 24 hours a day, 7 days a week; when an incident is confirmed the team makes a first contact attempt within 30 minutes of an incident being confirmed.

  • A named person owns every issue until it's resolved, and you can see who it is.
  • Hotels reconfirmed with the property before check-in, so the room is there when your traveler arrives.
  • Changes and cancellations handled by the team

One invoice, every line coded

Bookings arrive on one itemized invoice, each line carrying its cost codes. Reports and file-based exports go to your finance and grant systems.

  • Every fee itemized on the option and on the invoice. Nothing hidden in the fare.
  • Every refund tracked with an expected date, and chased if it's late.
  • Unused ticket credits tracked so they are used before they expire

Set up for nonprofits

What changes for a nonprofit

Cost codes that match your funding

Every charge carries an entity, department and project from booking: use them for your grants, funds and programs.

Every kind of traveler

Staff, board members, volunteers, speakers, teachers, students, researchers and candidates, each with the right policy. Students, guests and participants can be booked as guest travelers.

Named approvers

Set each traveler's approver, such as their program director, with delegates for set dates.

Documentation by default

Purpose, approval and cost basis recorded with every trip, ready for funders and auditors.

Access you control

Single sign-on with Google or Microsoft is available on request, and an account can require it for everyone.

Emissions reporting

Estimated emissions for flights booked through silentVIP with a route, hotel nights and rail. Car rentals, taxis and travel booked elsewhere are not included.

Honest about what it is

What the platform does not do

So you can decide with the full picture.

No live self-service search

Live self-service search across airline and hotel inventory is not available today. Travelers request a trip and choose from the options our team sends.

No AI booking

AI assistance: not available today. If we add AI assistance, a person will always authorize bookings, changes and payments.

Not insurance or evacuation

silentVIP arranges and supports travel. Travel insurance, medical assistance and evacuation come from your insurer or assistance provider.

Bring your travel program under one roof

Tell us about your organization and how you travel. A person reads every enquiry and replies.
